Which online booking system is best for a Malaysian business?

It depends on what you sell. Calendly (from USD10 per seat monthly) fits consultants selling time slots. Fresha (from USD19.95 monthly plus a 20% new-client marketplace commission) fits salons wanting a marketplace. A custom-built system (from RM2,500 one-off, no commission) fits businesses that already have demand and want to own the booking flow, the data, and the customer relationship.

The real question: rent or own?

Subscription platforms are fast to start and cost forever. A custom build costs more upfront and then belongs to you: no per-booking commission, no USD billing, no platform owning your customer list. If your bookings come from your own marketing — not a platform marketplace — you are paying commission for demand you generated yourself.

Where each platform genuinely wins

Fresha earns its fee when its marketplace sends you customers you would never have reached; that 20% first-visit commission is customer acquisition, not rent. Calendly wins for solo consultants whose whole product is a calendar slot. Both lose their shine when WhatsApp is where your customers actually book — which, for most Malaysian service SMEs, it is.

The WhatsApp gap

Malaysian customers book by messaging, not by browsing a widget. None of the global platforms put the booking flow inside a WhatsApp conversation with deposit collection through a Malaysian gateway. A custom system does exactly that: customer messages, AI checks the calendar, deposit link goes out, booking lands with a reminder scheduled.

Cost over three years

Fresha Independent at USD19.95/month is roughly RM3,400 over three years before commissions and payment fees. Calendly Standard for two seats is similar. A RM2,500 custom build is paid once, and hosting at SME traffic is near-free. The platforms are cheaper in month one and more expensive by month eighteen — decide on the horizon you actually plan to operate on.

Common follow-up questions

Is a free booking tool enough to start?

Often, yes. If bookings are few and your diary has slack, Google Calendar plus fast WhatsApp replies will carry you. Upgrade when slots become scarce or no-shows start costing real money.

Can I move off a platform later?

You can, but the platform keeps the history and the reviews, and your customers keep the platform's app. Moving early is cheap; moving after two years of bookings is not. That asymmetry is worth pricing in on day one.
